In addition to producing Summerfest presented by American Family Insurance, Milwaukee World Festival, Inc. maintains and develops the 75-acre lakefront parcel known as Henry Maier Festival Park, leasing the parcel from the City of Milwaukee through the year 2030, and hosting a variety of ethnic and cultural festivals, walks, runs, concerts and other events along with approximately 1.5 million patrons each year at the site.


Event Manager

Job Department: Event Production

Summary

Primary responsibilities include, but are not limited to, leading the planning and execution of assigned events produced by Milwaukee World Festival, Inc. (excluding Summerfest) and outside clients, with an expertise in implementing the logistical elements that help an event succeed (event design, build strategies, asset management, budgeting, and client service). This position will spend the majority of their time managing all aspects of the event production process, as well as assist with the brand building, marketing and the overall communication strategy.  The Event Manager collaborates with all other MWF departments to bring these event concepts to life, based on an identified event plan/timeline/budget, in an impactful, yet safe, way.  This role is imperative for winning and growing the business through implemented examples of cutting edge, modern, and targeted experiential events for MWF and other celebrated brands in an exposed outdoor environment/city-based park.

Essential Duties and Responsibilities include, but are not limited to, the following:

  • Lead internal departments on all assigned events, including operations, layout, food and beverage, marketing, sponsor activation, entertainment, merchandise, signage, traffic, security, admissions, IT and volunteers and communicate timely scope changes
  • Develop and manage event budgets, communicate scope changes, and assist in budget reconciliation, invoicing and collection
  • Serve as primary point of contact for clients, suppliers and vendors to create and understand all event details, while clearly, effectively and professionally communicating with these entities
  • Oversee and establish service standards to ensure the highest quality standards of event execution
  • Gather and analyze data to identify opportunities and make recommendations on event strategy
  • Document and refine processes, procedures and standards for assigned events
  • Recruit, hire, train, and provide day-to-day supervision of the seasonal Event Production support staff
  • Document event content in the form of Run of Show (ROS) and event sheets, and design layouts to allow internal departments and external vendors to execute the event effectively and efficiently
  • Support Executive Producer in the development and execution of client’s event contracts and invoicing, as well as secure permits and insurance where required
  • Ability to analyze client needs and upsell the event to increase profitability
  • Provide logistics background and detail to Legal Department for new promotions (drawing, prizing, awards, etc.) held at MWF-produced events where rules must be created
  • Create and manage production and timeline documentation, including credential distribution, COIs and load-in / load-out details, and utilities needed and equipment rentals from third party vendors
  • Work closely with the Sales Team to identify potential new client events, providing event plan concepts and venue information, as well as participating in external meetings and presentations as necessary to secure business
  • Develop relationships with third party vendors and continually negotiate best pricing within the market
  • Lead logistic and operational elements of Summerfest special projects such as ticket giveaways, Opening / Closing Ceremonies, award presentations, onsite VIP management, copywriting, etc. for MWF-produced events
  • Maintain a safe, positive and productive work environment and ensure this intent is communicated and adhered to by all laterals, subordinates and clients.
  • Work with other departments in implementing contingency, continuity and recovery plans.
  • Communicate relevant information to departments and others within the company within a timely manner through proper channels

Education, Experience and Qualifications

Qualifications:

  • 7+ years related experience in managing and producing large-scale events
  • Knowledgeable of current event trends
  • Well-developed project management skills, organizational skills, and time management skills
  • Eye for detail and extraordinary attention to delivering high quality, error-free deliverables

To perform the job successfully, an individual should have knowledge of Microsoft Office software including Word, Excel, PowerPoint, Outlook, and search engines such as Internet Explorer and/or Chrome.

Language Skills

Ability to read, analyze, and interpret company policies, budgets, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.  Foreign language skills are a plus.

Facility Operations and Maintenance Manager

Summary

The Manager of Facility Operations & Maintenance is responsible to provide management and direction to the functions of year-round grounds keeping, custodial, maintenance, and repairs for properties and equipment owned and leased by Milwaukee World Festival, Inc. This would also include overseeing contractors and MWF personnel performing facilities work.

Essential Duties and Responsibilities include, but are not limited to, the following: Oversee daily operation, maintenance of Henry Maier Festival Park, its entire grounds, buildings and maintenance and repairs. This includes building housekeeping, grounds cleaning, landscaping, elevators, lifts, chillers, refrigeration, fire protection, life safety, workplace safety, communications, and all associated maintenance, grounds keeping equipment and personnel.

  • Plan, execute, and manage the preparation and staff associated with cleaning, repair and maintenance to open the grounds for the event season, as well as winterization of all facilities, including but not limited to, stages, restrooms, landscaped areas, and the entire grounds for all pre-and-post event activities, as well as Summerfest, the organization’s premier event
  • Determine seasonal, part-time staffing levels and develop schedules, in partnership with the Operations Administration & Personnel Manager; assign duties and responsibilities; monitor workflow and prepare the grounds for all event activities
  • Oversight of seasonal, part-time maintenance staff that repair and maintain facilities and grounds
  • Manage the safe and healthy operational of a seasonal water feature known as the Splash Pad
  • Oversee the facility’s year-round recycling and ecology efforts, along with the contracted waste, grease and recycling removal providers
  • Aid the Director of Facility Operations and Maintenance for the development of departmental RFPs for contracted services
  • Oversight of contracted services such as cleaning, animal/pest control, restaurant hood and suppression system maintenance, fire alarm detection systems, elevator repair and maintenance, street sweeping and other various service providers
  • Lead the Operations Department safety and training program on an on-going basis. Develop and oversee the training and certification of equipment operators including but not limited to Forklifts, Boom Lifts, Blowers, Weed Whippers, and all of MWF-owned or rented equipment
  • Provide for the safe, fiscally responsible and efficient operation of the facility to the highest industry standards and best practices
  • Ensure calls for service are addressed in a timely and professional manner
  • Assist with the preparation and management of the operating and capital budgets for the department
  • Develop and maintain close working relationships with state and local officials and contractors, including the State of Wisconsin Department of Safety and Professional Services, City of Milwaukee Department of Neighborhood Services and other venue-related entities and know laws and regulations of each that pertains to our facility and grounds
  • Continually strive for improved means and methods toward facility management
